About Rocket Alumni Solutions

We help schools and universities celebrate achievements and preserve their history through interactive history software. We are looking for a hands-on finance operations professional to keep customer payments and administrative requirements moving.

The opportunity

You will own the follow-through that turns invoices into payments: calling and emailing customers, resolving missing paperwork, processing incoming paper checks, and keeping accurate records. You will also help register Rocket as an approved vendor with schools and maintain a clear calendar of business registrations and renewals. This is a hands on in-office execution role, not a procurement strategy or finance leadership position.

This is a flexible role in our Boston office for 2–3 workdays per week. The timing and hours are flexible. You will work with finance leadership and partner closely with Sales and Customer Success.

What you will own

Accounts receivable and customer follow-up

  • Review aging reports, prioritize overdue accounts, and follow up by phone and email with school business offices, accounts payable teams, and other customer contacts.

  • Find and resolve payment blockers: missing invoices, purchase orders, vendor approvals, incorrect contacts, or billing discrepancies. Coordinate disputes with the appropriate Rocket teammate.

  • Keep clear notes on each account, including the reason for delay, payment commitment, next action, and follow-up date. Escalate exceptions rather than letting them stall.

Checks, deposits, and payment records

  • Open and organize finance-related mail; log, scan, and deposit customer checks using approved company procedures.

  • Match incoming payments to the correct customer and invoice, retain supporting documentation, and investigate unidentified payments or discrepancies.

  • Keep checks and paper documents organized in-office

School vendor onboarding and registration administration

  • Complete school and district vendor-registration packets and portals using approved company information; obtain required W-9s, insurance certificates, and other supporting documents.

  • Track purchase orders, vendor IDs, submission status, approval requirements, and renewals so paperwork does not hold up invoices or payments.

  • Coordinate state business registrations, annual reports, and related renewals as directed by finance leadership, the company’s accountant, or legal counsel. Maintain a deadline calendar and proof of submission; escalate tax, legal, banking, and contract questions for approval.

Reliable processes and reporting

  • Maintain organized digital records and a simple weekly summary of overdue balances, collection progress, unresolved payment issues, and upcoming registration deadlines.

  • Improve templates, checklists, and reminders so recurring work becomes easier, more accurate, and less dependent on follow-up from others.

What you bring

  • At least two years of relevant hands-on accounts receivable, collections, bookkeeping, billing, or finance administration experience; comparable practical experience is welcome.

  • Comfort making payment-follow-up calls and writing clear, professional emails. You can be persistent without damaging customer relationships.

  • Experience working with invoices, payments, account reconciliations, and confidential financial information, with strong attention to detail.

  • Confidence with accounting or billing software, Excel or Google Sheets, online portals, and document management. Experience with QuickBooks, HubSpot, or comparable systems is helpful.

  • Strong organization and independent follow-through: you track deadlines, identify the next step, ask good questions, and finish what you start.

  • Availability for a consistent part-time schedule in our Boston office. This is an in-office role, not a remote-only position.

School, university, nonprofit, government-customer, or small-business office experience is a plus. A college degree, CPA license, or advanced finance background is not required.

What success looks like in the first 90 days

  • Overdue accounts have accurate balances, a documented reason for delay, and a specific next step. Agreed payment commitments receive timely follow-up.

  • Checks and other receipts are logged, deposited, and matched accurately within the agreed processing schedule; exceptions are visible and resolved.

  • Vendor registrations and renewal deadlines are tracked in one place, with complete records, clear ownership, and timely escalation.
